The tattoo CRM

Your clients, your sleeves,
your money — in order.

Salon software doesn't understand a six-session back piece. Spreadsheets don't hold healed photos. Stencil is a CRM shaped like tattoo work — built into your website and booking, not bolted on.

Free while in beta · No credit card · Your data exports anytime

An inbox instead of saved DMs

Every booking request lands in a queue with a status: new, replied, waitlisted, booked, declined. Closed books? The waitlist finally lives somewhere that isn't your message archive and your conscience.

Sleeves tracked as projects, not appointments

A large piece is one project with sessions inside it — what got done, how it healed, fresh and healed photos in order, and a session-count estimate so "how many left?" has an answer. (Approximately. We keep saying that on purpose.)

Per-session deposits and prices

Each sitting logs its price and a deposit note in plain words — "$200 paid, comes off the final." Deposit disputes are records disputes; these are the records.

Ink and needle logs

What went in, per session — brands, colors, groupings. The note nobody takes and everybody needs eighteen months later for a color-matched touch-up.

Guest artists, first class

Guests get stint dates, their own bookable calendar limited to those dates, a spot on your site that says "arriving soon — books open now," and their own login when they land.

Money that knows your arrangement

Commission percentage or booth rent per artist; a monthly summary shows revenue and splits. Owners see the shop; each artist sees their own. Shared-space studios with no owner: everyone's money stays private.

Your list comes with you

CSV import that reads Square and Vagaro exports, merges name columns, skips duplicates. Leaving is the same courtesy: your data exports back out. No hostages.

Attached to a website worth having

This isn't a CRM bolted to nothing — it's built into your portfolio site with booking, templates, and themes. One login, one place, one link in bio.

Fair questions.

Is there really a free tattoo CRM?

Stencil is free while in beta — full CRM, booking, and website, one site per account, no credit card. When paid plans arrive, the core stays usable and your data stays exportable. We're the vendor, so read that with the grain of salt it deserves — but there's no trial clock ticking.

What's the difference between a CRM and booking software?

Booking software answers "when can you get me in?" — a calendar with rules. A CRM answers "who is this and where were we?" — clients, multi-session projects, deposits, history. Multi-session work is where the difference bites; we wrote a full guide on it.

Can I track client allergies or medical info?

There's a notes field, and our advice is to keep such notes minimal and factual — a tattoo CRM is not a medical record system, and pretending otherwise would be bad for you and your clients. We wrote a guide on doing this responsibly.

Does it handle booth renters and hybrid splits?

Per-artist arrangements: commission percentage or flat monthly booth rent, summarized monthly. Hybrid shops set each artist differently.

How do I move my client list from Square or Vagaro?

Export from their dashboard, drop the file into Clients → Import CSV. Headers auto-detect, duplicates are skipped by email. Step-by-step guides for both are on the blog.

Set up in an evening.

Site, booking, inbox, clients — one account. Import your list and tomorrow's appointments already know who they are. Don't take our word for the timeline — here's the whole evening, hour by hour.
